Privacy Policy

A) Privacy Commitment

Parkinson Association of Alberta is committed to protecting the privacy of the personal information of its members, donors, volunteers, and stakeholders. We value and respect the privacy and sensitivity of the personal information and wish to be transparent and accountable in how we manage and treat personal information.

B) Personal Information

Personal information includes any information that specifically identifies or distinguishes an individual and is provided to or collected by Parkinson Association of Alberta. In distinguishing an individual, this can include name, home address, telephone numbers, e-mail addresses, age, gender, identification numbers, employment, and volunteer and/or donor history. Business contact information and certain publicly available information, such as names, addresses, phone numbers and e-mail addresses published in telephone directories, websites and business related sites are generally not considered personal information.

C) Safeguards for Personal Information

Parkinson Association of Alberta endeavors to maintain physical, technical and procedural safeguards that are appropriate to the sensitivity of the personal information. These safeguards are designed to prevent personal information from loss and unauthorized access, copying, use, modification or disclosure. On an ongoing basis, staff and volunteers review the importance of safeguarding personal information.

D) Collecting, Using and Disclosing Personal Information

Unless authorized or required by law, personal information is only collected, used and disclosed with consent. It is understood that, depending on the sensitivity and nature of the personal information, consent may be written or verbal, express or implied. Upon giving notice, consent for any collection, use or disclosure of personal information can be withdrawn at any time. In all instances, Parkinson Association of Alberta personnel only collect, use and disclose personal information on a ‘need-to-know’ basis and only for such purposes that are reasonable and expected. In the case of Parkinson Association of Alberta, this purpose is primarily for fundraising or advocacy for Parkinson Association of Alberta.

Personal information may be collected during the course of various activities, for example for the purposes of fundraising events, projects or campaigns. Personal information may also be collected to process volunteer and associate membership with Parkinson Association of Alberta, to process gift and donation receipts, to forward information to individuals and businesses regarding Parkinson Association of Alberta, ongoing fundraising activities, and to contact individuals to verify the accuracy of information.

Personal information is used for the purposes of managing our volunteer, donor, and recognition programs and for developing new programs. Quality assurance is important and information statistics assist Parkinson Association of Alberta in being effective and resourceful with the resources and gifts provided to the organization for carrying out its mission.

In general, personal information is only disclosed for the purposes it was collected. Parkinson Association of Alberta does not sell or share client, donor or volunteer lists with other organizations. Personal information can be disclosed without consent if the information is publicly available. When processing in memoriam donations, it has been a reasonable expectation of the donor to have the name and address forwarded to the next of kin, or to the individual(s) identified to Parkinson Association of Alberta to inform them of the gift to the organization on behalf of their loved one. No dollar value of the in memoriam donation is provided to the next of kin unless written consent by the donor is provided to do so.

E) “Your Wishes are Important to Us”

We seek confidence and trust on how we collect, use and disclose personal information. We encourage anyone giving us personal information to express any wishes they may have on how we collect, use or disclose their information. Depending on the type of information provided to Parkinson Association of Alberta, the organization might be limited in the ability to provide some ongoing information about the organization, e.g. regular mailings event or volunteer program information.

Parkinson Association of Alberta routinely requests that information be provided to the organization to update files that may have changed contact information or other personal information previously provided. This is important in maintaining accuracy of personal and contact information.

F) Access to Personal Information

Members, donors, volunteers, and stakeholders may request to review the personal information that Parkinson Association of Alberta has available. If a member, donor, volunteer, or stakeholders wishes to review, verify or correct personal information, they are asked to contact the Head Office in Calgary using the contact information set out below. Please note that any such communication must be in writing.

When requesting access to personal information, please note that Parkinson Association of Alberta may request specific information to enable the organization to confirm identity and right to access, as well as to search for and provide the personal information that is on file.

Member, donor, volunteer, and stakeholder right to access personal information is not absolute. There are instances where applicable law or regulatory requirements allow or require us to refuse to provide some or all of the personal information that is available. Personal information may have been destroyed, erased or made anonymous in accordance with Parkinson Association of Alberta record retention obligations and practices.

In the event that Parkinson Association of Association of Alberta cannot provide access to personal information, the organization will endeavor to provide the reasons why, subject to any legal or regulatory restrictions.

G) Website, E-Commerce and Email Communications

Parkinson Association of Alberta uses password protocols to protect personal and other information. The organization regularly reviews security, business recovery and information protection practices as technology and complexity increases to ensure the security and privacy of information. The Parkinson Association of Alberta website may contain links to other sites which are not governed by this Privacy Policy. Parkinson Association of Alberta may monitor website traffic patterns, site usage and related site information to optimize the ability to provide information about Parkinson Association of Alberta to our members, donors, volunteers, and stakeholders.

 

The information we receive from or about you is stored on systems designed to prevent the loss, misuse, unauthorized access, disclosure, alteration or destruction of that information. We also encrypt your transmission of sensitive information to us (e.g., credit card numbers, account passwords) in the interest of heightened privacy protection and information integrity. Transactions within our account manager and purchase flows use Secure Sockets Layer (SSL) encryption when transmitting data from your connection to our systems. You may click the lock icon within your web browser to verify the authenticity of any or our SSL certificates.

 

By utilizing our services, you obtain the protections of, and consent to the data processing practices described in, this Privacy Policy. When you purchase our services, you also represent to us that you have provided notice to, and obtained consent from, any third party individuals whose personal data you supply to us with regard to: (i) the purposes for which such third party’s personal data have been collected, (ii) the intended recipients or categories of recipients of the third party’s personal data, (iii) which of the third party’s data are obligatory and which data, if any, are voluntary, and (iv) how the third party can access and, if necessary, rectify the data held about them.

 

In addition to the privacy protections that we provide, our employees, agents and business partners are independently responsible for ensuring compliance with this Privacy Policy, as described herein.

Only Parkinson Association of Alberta employees that have a legitimate business purpose for accessing and handling personal information obtained by us are given authorization to do so. The unauthorized access or use of such information by any Parkinson Association of Alberta employee is prohibited and constitutes grounds for disciplinary action.

Additionally, our information management systems are configured in such a way as to block or inhibit employees from accessing information that they have no authority to access.

Our trusted vendors and business partners may be responsible for processing or handling some of the information that we receive. These vendors and business partners are not authorized to use such information for purposes beyond those specified by us and are required to preserve the confidentiality with which we treat such information.

Please note that email transmission is not always a secure method of communication and that any personal or confidential information sent to Parkinson Association of Alberta or sent to you by email cannot be reliably protected.

H) Updating of Privacy Policy

Parkinson Association of Alberta regularly reviews privacy practices for all activities, and updates privacy policies as required. We will post any changes to this Privacy Policy 30 days before their effective date so you will always know what information we collect, how we use it, and under what circumstances, if any, we disclose it. You are responsible for periodically checking our web site for changes to this Privacy Policy. You may opt-out of any posted change to our collection, use or disclosure of your personal information by sending us an email.
