EVENT COORDINATOR – Calgary

FULL TIME / TEMPORARY (SEASONAL)

LOCATION: Calgary

$20.00 PER HOUR / 35.0 HOURS PER WEEK

CONTRACT LENGTH: 8 WEEKS (preferred start date between July 1-7, 2024)

This position will see the successful applicant work with the Parkinson Association of Alberta team to help plan, coordinate, and execute our local fundraising events and marketing and communications initiatives.

Working with and reporting to PAA’s Communications & Development Manager, you will learn and grow skills in events, planning, organization, marketing and communications, budgets, interpersonal relationships, and stakeholder engagement. You will attend regular in-person, online and/or telephone meetings while coordinating and managing local vendors, volunteers, and community partners and campaigns.

You are a flexible, energetic individual with a passion for events.

Responsibilities
  • Act as event lead / point person with all volunteers, vendors, and organizational partners
  • Manage event set up, execution, tear down and clean up.
  • Organize, assign, train (as needed) and supervise event volunteers.
  • Coordinate with selected vendors appropriate to the event(s)
  • Provide regular communications/updates (scheduled and non-scheduled) to the Communications & Development Manager and participate in all meetings related to event.
  • Keep a detailed log of all event activities.
  • Distribute promotional and marketing materials in your assigned community.
  • Work within assigned location event budget; tracking and reporting all expenses.
  • Help source local vendors, suppliers, partners, sponsors, donors, and earned media coverage.
  • Ensure all event signage is accurate and in place.
  • Liaison with the local Client Services Coordinator(s) to ensure their role at event.
  • Ensure location is fully cleaned up after event, all rentals are returned.
  • Ensure all “in-person” donations are safely collected and handed off to assigned Client Services Coordinator, along with all event paperwork.
  • Complete post-event report within 1-week of event, following supplied template and soliciting local event feedback.
Requirements
  • Some experience working at community and/or fundraising events.
  • Experience with MS Office.
  • Ability to work remotely, in our office, and on-location.
  • Ability to work independently, when required.
  • Effective time management skills and the ability to meet deadlines.
  • Effective communication skills.
  • May require some lifting.
  • Ability to work in the evenings or weekends to support business needs.
  • Must have own vehicle (will be reimbursed for related expenses)
  • Ability to meet the requirement of the Canada Summer Jobs program (must be between 15-30 years of age, and have Canadian Citizen, Permanent Resident or Refugee status
